Terms of Participation and Registration
When registering multiple participants, you must ensure that all participants read the points about Responsibility and Co-responsibility on guided tours and courses organized by Hardingfjell. Furthermore, the participants must sign this document and submit it.
Responsibility and Co-responsibility on Guided Tours and Courses Organized by Hardingfjell
Participation in mountain sports and kayaking events involves a certain risk of accidents and injuries. Hardingfjell always seeks to minimize this risk by ensuring that our events are led by well-qualified guides and instructors, hereafter referred to as guides, and by ensuring that our guides commit to following our safety instructions.
At our events, the guide has the overall responsibility for the safety of the group. The guide is a competent person who is well-versed in mountain and water safety, potential hazards, and group safety. The event should, as far as possible, be in line with the group's conditions (physical fitness, skills, experience, equipment, etc.), and it is therefore the individual participant's duty to consider this when choosing a tour and registering.
For the guide to be responsible for the group's safety, all participants must be co-responsible by:
Following the guide's instructions throughout the event
Integrating as part of the group
Walking behind the guide unless otherwise agreed
Stopping/waiting at agreed places

It is important that each participant informs the guide(s) about any illnesses and/or ailments that may be relevant to safety during the event.
Participants are obliged to replace any self-inflicted damage and/or loss of equipment borrowed or rented from Hardingfjell.
1. Registration/Binding Agreement The agreement between Hardingfjell and the participant(s) is considered concluded when confirmation of the booking is sent from Hardingfjell.
2. What is Included in the Event Price Included in the event price are:
Guide
Coverage of the guide(s)' expenses during the event unless otherwise clearly specified in the event information.
All personal safety equipment unless otherwise clearly specified in the event information:
Avalanche equipment (avalanche transceiver, probe, shovel)
Climbing equipment (harness with accessories, helmet, crampons, ice axe, rope)
Glacier equipment (harness with accessories, helmet, crampons, ice axe, rope)
Any other safety equipment
3. Payment Terms Payment is usually made at the start of the event or invoiced after the event has taken place. In some cases, a deposit is required, but this will be stated in the event description.
4. Special Conditions Related to the Agreement
4.1. Cancellation Protection and Insurance Hardingfjell does not offer cancellation protection, travel, or accident insurance for our events. We recommend that each participant takes out their own travel and accident insurance. For larger events, we recommend that each participant takes out insurance with cancellation protection.
4.2. Health Information Participants are obliged to provide information about any health conditions that may be relevant to safety during the event.
4.3. Risk in Mountain Sports and Kayaking Events Participation in mountain sports and kayaking events involves a certain risk of accidents and injuries. Mountain sports events include climbing and scrambling in mountains and on lowland cliffs, ice climbing, glacier hiking, and skiing off marked trails. Kayaking events include paddling on lakes, seas, and fjords. Participants are obliged to follow the guide(s)' instructions related to safety and route choice as long as the event is ongoing. Hardingfjell assumes no financial obligations as a result of injury to persons or equipment, unless the accident or incident is due to gross negligence on the part of the guide.
4.4. Hardingfjell Competence Hardingfjell always seeks to minimize the risk associated with events in our organization by using guides who are at least approved through the Norwegian Mountain Sports Forum (NF), and guides commit to following our safety instructions. For kayaking events, we follow the education ladder in the Norwegian Paddle Association depending on the type of event.
4.5. Loss of Equipment Participants are obliged to replace any self-inflicted loss or damage of equipment borrowed or rented from Hardingfjell.
5. Participant's Right to Cancel the Event
5.1-a Cancellation for a Fee After registration, the participant has the right to cancel the event free of charge up to 30 days before the event starts. If the participant cancels when there are less than 30 days until the event starts, the following rules apply:
Cancellation between 30 and 15 days before the event starts: The participant pays 25% of the full event price.
Cancellation between 14 and 8 days before the event starts: The participant pays 50% of the full event price.
Cancellation later than 7 days before the event starts or non-attendance at the start of the event: The participant pays the full event price.
If the participant's booking includes several people, and the agreed total price is based on discounts or reductions related to the number of participants, the basis for such discounts or reductions may be lost if some of the participants cancel. In the case of such partial cancellation, Hardingfjell will refund the proportional share of the agreed/paid price to those who cancel and collect any additional costs resulting from the loss of discounts related to the group's size from the remaining participants.
5.2. In Case of Sudden and Serious Illness or Accident The same conditions as under point 5.1 Cancellation for a Fee apply. For larger events, Hardingfjell recommends that each participant purchases cancellation protection through their travel insurance.
5.3. Change of Booking Participants can change the booking to another event in the same price range if Hardingfjell can accommodate the new wishes.
6. Hardingfjell's Right to Change or Cancel an Event
6.1. Too Few Registrations Hardingfjell can cancel the event if the number of places sold does not meet the requirement set by Hardingfjell for holding the event. The deadline for such cancellation is 5 days unless otherwise agreed. Notice of such cancellation must be received by the customer no later than the deadline. Hardingfjell is obliged to inform the participant(s) of the cancellation as early as possible. In the case of cancellation under this point, all participant's paid amounts will be refunded as soon as possible
6.2. Bad Weather or Conditions In case of bad weather or poor conditions on the planned routes, Hardingfjell may need to change the event and, if possible, move the event to another area. Hardingfjell is then obliged to strive to ensure that the change causes the least possible inconvenience to the participant(s). If there are additional costs associated with this, they will be invoiced to the participant(s). Hardingfjell can also offer alternative events at the same time. If Hardingfjell cannot move the event or offer an alternative event at the same time, the participant(s) have the right to get a refund of the entire event cost.
6.3. Illness/Injury of Guide In case of illness or injury of the guide, Hardingfjell will strive to find a new guide with equivalent qualifications as the agreed one. If we fail in this, we may need to change or cancel the event. If Hardingfjell cannot offer an alternative guide, the participant(s) have the right to get a refund of the entire event cost.
7. Privacy Information about your name and other contact information that you provide when registering in our registration form or by email and phone is considered personal information. Hardingfjell needs to register and store this information to deliver the product or offer you have ordered. By accepting these terms, you also agree that Hardingfjell will send you newsletters with information about new tours and courses in the future. You can request to stop these newsletters at any time. You also have the right to see your personal information stored by Hardingfjell and to have it deleted. Read Hardingfjell's full privacy statement here.
8. Data Storage of Personal Information On May 25, 2018, the EU's new rules on the collection and storage of personal information come into force. The rules apply throughout Europe and impose stricter requirements on those who collect and store information about you, ensuring that you are better protected against misuse of your information. For us to store personal information about you in connection with our events, we must have your consent. Think carefully about what information you provide when registering. By accepting Hardingfjell's terms, you also consent to Hardingfjell storing your personal information. You can opt-out so that all your data is deleted after the event you participate in. 9. Printing Errors Hardingfjell reserves the right for any printing errors in our price lists and brochures, as well as information distributed over our websites on the internet.
